How To Enter An Event

BUCS Play General Admin 

• Written warnings and fines from Swansea University Sport and BUCS for incomplete team sheets and missing results. 

• £100 fine for incomplete team sheets from BUCS. 

• During the 2025-2026 BUCS season, there were no teams fined for failing to complete their team sheets for 60% of games. This is an improvement from last year. Let’s keep this up.  

• Team sheets must be entered on BUCS Play by midnight the night before a fixture. 

• Results must be entered on BUCS play straight after matches to be approved. Results must be submitted on BUCS Play after every fixture by 11am the next day. Failure to submit a team result by the deadline may result in a fine. 

• All clubs are responsible with bringing themselves up to speed with requirements from the BUCS presentation on BUCS Play.

  
  

Wednesday BUCS General Admin. 

Fixtures will be live on BUCS Play in July. You have August to submit any fixture change requests through to sportsadmin@swansea.ac.uk, after this date any fixture requests will have to be submitted via this form Fixture Rearrangement and will be decided on a case by case basis.  

• BUCS Leagues & Cup – Ensure all officials are booked for all home fixtures. 

• Logistics of Fixtures (League & Cup), Transport & Accommodation. This information will be sent out a few days prior to the fixture. 

• Drivers, Insurance and Damage / Accidents – Hire car: make sure car is checked for scratches etc. and is returned clean. 

• Understand BUCS Rules & Regulations in particular cup games. 

• Playing Under Protest Forms – must be completed as soon as the issue is identified. 

• Medical cover provided for Football, American Football and Rugby. 

• Student cards must be taken for checks. 

• Swansea University Sport Standard Membership must be purchased in order to participate in BUCS. As part of this £35 fee, you will be covered for insurance. 

• On the day of games, checks will be carried out to see whether Swansea University Sport Standard Membership has been purchased. 

Away Matches 

Transport will be booked as per the fixtures on BUCS Play.  

• BUCS Transport Wednesday.   All clubs are expected to drive their own cars unless allocated differently by Swansea University Sport Admin. Wednesday sports to request transport above and beyond own cars, using the Vehicle Hire request form Car Hire Form.

• Transport/Fixture confirmation PDF will be sent by the Friday before your fixture; these are to be checked thoroughly and could be subject to change. 

• Any changes required will need to be communicated with Swansea University Sport direct and not via the opposition team. 

• Final confirmation will be sent out on the Tuesday morning. 

• Transport could include coach, train, hire car or own car. 

• The PDF will contain the following information: 

  • Departure time. 

  • Team. 

  • Opposition. 

  • Venue. 

  • Kick off time. 

  • Return time. 

  • Out of hours contact number for the coach company. 

• Pick up locations are Wales National Pool Reception and Bay Campus (Unless the Bus is going West) 

• Please ensure that you at the pickup location 30 minutes before the departure time. 

• Swansea University Sport Standard Membership is required in order to play. 

• All fixtures will be on BUCS play and teams are encouraged to check these regularly and to advise as soon as possible if there are any issues. 

• Cancellation and changes less than 48 hours before fixtures are not acceptable unless in extreme and unavoidable circumstances. 

• Ensure that you are aware of Playing Under Protest and what is required and expected of you.

Home Matches 

Internal venues will be booked as per the fixtures on BUCS Play. 

• Transport/Fixture confirmation will be sent by the Friday before your fixture; these are to be checked thoroughly and could be subject to change. 

• Final confirmation will be sent out on the Tuesday morning. 

• All external venues e.g., Tennis, Golf, Cricket etc must be booked by the club and communicated to Swansea University Sport as per the fixtures on BUCS Play. 

• Clubs are responsible for ensuring that any relevant officials and referees are booked for all home fixtures. 

• The PDF will contain the following information: 
  

  1. Team. 

  2. Opposition. 

  3. Venue. 

  4. Kick off time. 

  5. Competition. 

  6. Out of hours contact number.
