Student Groups may request the Students’ Union to book transport relating to their activities on their behalf. The Students’ Union shall agree to hire and have adequate insurance in place to cover such requests provided the following conditions are met:
For Car/Minibus/Coach Hire
- The Student Group has completed the Transport Request Form and signed the Declaration
- The expenditure relates to Swansea University sporting or societies activities
- The transport hire cost will consist of the cost of vehicle(s) and related insurance premium
- The Student Group will replace any fuel used from the vehicles supply at the time of delivery, before return of the vehicle (cost can be reclaimed with a valid receipt)
- The Student Group will always abide by the SUSU Code of Conduct and/or BUCS Code of Conduct
- In the event of any accident, the Student Group agrees to be liable for any insurance excess (currently £150 for drivers over 24 and £200 aged 21 to 24) and/or vehicle damage costs, and that it shall be at the discretion of the Students’ Union as to whether any claim is pursued via its own insurance or otherwise
- The Student Groups agrees to reimburse the transport supplier for any damage caused to the vehicle during the term of the hire period. In the event of any dispute, the decision of the Students’ Union shall stand
- The Student Group agrees to abide with any additional instructions/requirements from the transport provider
Any nominated driver agrees and abides to the following on behalf of the Sports Club/Society:
- They are over 21 and under 70 years of age
- They have held a full UK driving license for at least two years
- They have provided the Students’ Union with a copy of their driving license to be kept on file
- They shall not carry more than the permitted number of passengers in each vehicle
- In the case of minibus hire of 16 or 17 seat vehicles, they shall have an additional License Category D1
- They are not currently banned from driving
- They shall not attempt to drive any vehicle until it has been confirmed that adequate insurance is in place
- They will not tow a trailer
- They shall not generate any financial reward directly related to the transport hire and are driving on a voluntary basis
- No smoking is allowed in the vehicle at any time
- Drivers shall not drive any vehicle if they are under the influence of drugs or alcohol
- Drivers shall not use mobile phones unless it is stationary and parked in a safe location
- Drivers shall always obey the Highway Code and applicable speed limit
- Drivers are responsible for any parking or speeding fines and no responsibility whatsoever shall be borne by the Union
- In the event of an accident, the driver shall complete the Union’s Motor Incident Form (attached)
