Student Representative Code of Conduct 2025-26

This Code of Conduct sets out the behaviour of all Student Representatives (Subject Reps, School Reps, College Reps and PGR reps). This Code of Conduct applies to when reps are fulfilling their roles in representing students, participating in any related activity or event (e.g. conferences Study Aid etc.), including when travelling to and from the activity, under the name of Swansea University Students’ Union and/or Swansea University or in which they could be identified as a member of the Union or University. Reps are active and engaged members of Swansea University Students' Union and are thereby representing the Union and the University in the role that they carry out. 
 
 All Reps are required to accept and adhere to this code of conduct and its provision. Failure to do so could result in sanctions including removal from the representative role. 

Attendance 

  • Reps are expected to complete all relevant training and attend any departmental/faculty specific induction. This includes Anti-Racism and EDI training.

  • Reps are expected to attend at least 75% of relevant meetings. If the Rep is unable to attend, they must provide apologies by emailing the relevant member of staff. 

  • To attend at least one Students’ Union Forum or AGM.

  • Engage with wider training and development opportunities to support your role.

  • Reps are expected to be engaged and present on their course 

Behaviour 

  • Proactively engage with the University and Students’ Union to fulfil your role. 

  • Reps are expected to treat everyone fairly, and equally with respect. 

  • Reps should maintain a professional standard of behaviour in meetings and rep role activities.

  • Reps should not abuse their power or influence. 

  • Bullying of any type (including threats) towards any student, University and SU staff will not be tolerated. 

  • Behave in a considerate and responsible manner at all times when participating in any activity in which you could be identified as a Rep, or a member of a Union, or a student at Swansea University. 

  • Act in the best interests of you students and other Reps, the University and the Students’ Union. 

  • Not act in an unlawful manner. 

  • Avoid actions which could bring the Rep System, Students’ Union or Swansea University into disrepute. 

  • Be aware of how their actions may be perceived by others. 

  • Refrain from violent, indecent, disorderly, threatening or offensive behaviour or language whilst they could be identified as a Rep or a member of the Students’ Union or Swansea University. 

  • Refrain from any form of harassment of others and respect the rights, dignity and values of others. 

  • Act in a democratic and honest way when dealing with finances, communications, confidential information and disciplinary matters. 

  • Communicate appropriately with your fellow Reps, Education Executive and students and the relevant elected Union Officer. 

  • Treat facilities, staff and students at the Students’ Union and Swansea University with the utmost respect and abide by any rules that may apply. 

  • Respect the decisions of the Union Officers and other Union and University Staff. 

  • Act in the best interests of students and fellow Reps in a way that reflects the opinions and decisions of the majority of the students. 

  • Not encourage or pressure others into acting against the Code or any other governing document. 

  • Follow procedures and processes outlined by the Students’ Union.

  • Adhere to the constitution, general rules, regulations and policies of the Students’ Union.

  • Understand the repercussions of any breaches of this Code.

Feedback 

  • Reps should ensure that all views put forward are representatives of the views of the students on their course of study, rather than a personal view. 

  •  Reps must relay any information to staff and students accurately, in a timely and effective manner. 

  • Reps are to maintain regular contact with the relevant School Reps, University staff and the Students’ Union.

  • Reps are encouraged to proactively collect student feedback and communicate this with staff and via the appropriate feedback channels.

  • Close the feedback loop, i.e. communicate outcomes of feedback back to students. 

Confidentiality 

  • Reps are expected to maintain confidentiality about any information related to students or staff, which they may have accessed during the course of their role. 

  • Reps are to signpost any students in need of support to the appropriate service. Under no circumstances should a Rep offer personal support or advice to a student in their capacity as a Rep. 

  • Reps must abide by the Union’s Social Media Policy and SUSU-SU Student Charter and other relevant Union and University processes and policies.  

 

What happens if the Code is breached? 
 If the Students’ Union receives information which indicated that any Rep may have acted in breach of this Code, the matter will be dealt with under the Students’ Union Rep Disciplinary Procedure and if needed appropriate sanctions applied. 


Declaration of Agreement 

I understand that I will be dealt with under the SU Rep Disciplinary Procedures, should a breach of this Code of Conduct occur.
