Club Handover

Every club functions slightly differently and as such, we need to make sure that the knowledge and expertise of these differences isn't lost. A thorough and comprehensive handover is at the centre of ensuring your club thrives for years to come.



Handover Document


Swansea University Sport has developed a Handover Document Template to be used by each club. The document should be able to be picked up by anyone (not just someone from your club) and it be clear what needs to be done to keep the club functioning, and hopefully, flourishing. It is therefore each club's responsibility to do the following in relation to the handover document-


  1. Personalise the document where relevant (e.g. use your club logo, add club-specific roles, etc).

  2. Review the document throughout the year/season and add any additional information as it becomes apparent (e.g. new deadlines, 'tips & tricks' to make things easier, etc).

  3. Update all details across all sections, paying close attention to 'Affiliation Requirements', 'Annual Club Operations' and 'Appendix 3' onwards.

  4. Ensure it is accessible and shared with incoming committee before they have access to all club systems.


As with all operational documents, the Handover Document should be stored in the club's shared OneDrive folder and be worked on online as a 'live document'.



Handover Meetings


As a part of the Handover Process, each club is expected to attend/hold multiple Handover Meetings. These are:


  1. Handover Meeting/s with your SDO (booked through the booking link)

  2. Internal Handover Meetings between outgoing and incoming committee members (position-specific and whole club) 


Before attending your Handover Meeting with your SDO, please ensure your Handover Document is up-to-date as this meeting will be used to sign it off, as well as any other outstanding documentation such as the season's Budget Model and Inventory.
