List your event on the SU website
Create an event on the Students’ Union website so people can easily find all the key information in one place. This should always be your main, “official” listing that you link to from emails, social media, and posters.
Include:
Event name and a short, engaging description.
Date, time, location, and any access info or dress code.
Ticket details (price, link, booking deadline).
Contact email or social media handle for questions.
Once your event is live on the SU site, you can share the link everywhere else.
Email your members directly
Committee members can email all of their club or society members via the SU website. This is an effective method of communication because it ensures everyone who has purchased membership will see your notices, and saves you time as you will not need to compile your own mailing list.
To email your members via the SU website:
Click the cog icon in the top‑right corner of the SU website.
Go to your club or society’s admin tools.
Click “Messages”.
Click “Send email”.
If you have input a group email address (for example, examplesociety@gmail.com) on your student group page, the website will give you the option to send from the student group email address, or from your personal university email address.
In your email, make sure you:
Include when and where the event is taking place.
Add any information an attendee may need (such as Zoom passwords or clear directions to the venue).
Provide a link to the event listing on the SU website so members can easily find more details and book their place.
Use your own social media
Use your society or club social media accounts to your full advantage and promote your events virtually to your followers. Social media is a fast, free way to keep people updated and build interest.
A few pointers:
Get creative and make striking artwork to promote your event and catch people’s eyes.
Make sure the information is clear and easy to read (for example, black writing on a white background is usually easier to read than white writing on a black background on a phone screen).
Use Facebook, Twitter (X) and Instagram, and post Stories or Reels with updates such as how many tickets are left or reminders as the event approaches.
Remember to always include a call to action. If you want people to buy tickets, tell them exactly how: include a ticket link or clear instructions for booking.
Message your members using groupchats
Alongside email, you can also message your members through group chats and internal channels. This is a good way to remind people who are already engaged with your group.
You might:
Share event details in your society WhatsApp, Discord or Messenger groups.
Ask committee members to mention the event at the end of meetings, training sessions or socials.
Use the SU event link repeatedly so members always know where to find the full information.
Combine methods for the best reach
The most effective event promotion uses a combination of tools rather than relying on just one. For example, you might:
Create an event on the SU website.
Email all your members with the link.
Share artwork and reminders on your social media.
Ask the SU to display your slide on screens in the Hive or Union House.
Book a stall in the Hive to promote the event in person.
By using several of these methods, you give your event the best chance of reaching both your existing members and new people who might be interested.
